POSITION INFORMATION
Job Summary: The Jr. Transportation & Order Logistics Coordinator provides administrative and operational support for the transportation and order logistics functions. This position supports the timely and cost-effective movement of ENGEL products by coordinating domestic transportation and rigging quote requests, maintaining shipping information, supporting budget transportation costs, reviewing customs documentation, and assisting with daily communications involving customers, internal teams, transportation providers, and customs partners.
Essential Duties and Responsibilities:
Provides daily customer, internal and customs communications. 20%
o Responds to routine transportation and logistics questions from customers and internal employees.
Maintains shipping spreadsheets and logistics tracking information. 20%
o Maintains shipping spreadsheets and other tracking tools used to monitor transportation activities.
o Updates shipment information, dates, costs and other required details in a timely manner.
o Assists with identifying missing or outdated information and follows up with responsible parties.
Reviews 7501 packets and supports customs documentation. 15%
o Reviews 7501 entry packets for completeness and accuracy.
o Identifies discrepancies or missing information and communicates with the appropriate internal or external contact for resolution.
o Supports the maintenance of documentation required for customs and transportation activities.
Supports domestic transportation quote requests. 15%
o Requests and collects domestic transportation quotes from approved carriers and transportation providers.
o Reviews quote information for completeness and accuracy and communicates transportation options to the appropriate internal teams.
o Assists with coordinating transportation requirements and follows up on outstanding quotes.
Supports rigging quote requests and rigging administration. 15%
o Requests rigging quotes for machine deliveries and related projects.
o Communicates project requirements and delivery information to rigging providers.
o Assists with coordinating rigging information between Sales, customers, transportation providers and internal teams.
Performs rigging data entry and maintains accurate records. 5%
o Enters and updates rigging information in applicable systems and tracking tools.
o Verifies data for completeness and accuracy and resolves discrepancies as needed.
o Maintains organized documentation related to rigging requests and costs.
Supports budget transportation costs. 5%
o Obtains and enters budget transportation costs for quotations and order planning.
o Uses available transportation information and historical data to support accurate budget estimates.
o Communicates transportation cost information to Sales Support and other internal stakeholders.
Provides transportation and logistics support for NPE and other trade shows. 5%
o Assists with transportation, shipping and logistics coordination for NPE and other company events or trade shows as assigned.
Performs other duties or special projects as required or as assigned by a supervisor.
QUALIFICATION REQUIREMENTS
Educational/Training Requirement:
High school diploma or equivalent required.
Business, logistics, supply chain or related degree is a plus.
Experience:
Previous administrative, customer service, logistics, transportation, order processing or related experience preferred.
Experience with quoting, shipping, rigging, customs documentation or transportation coordination is a plus.
Experience working with internal and external customers in a business-to-business environment is preferred.
Licenses/Certifications:
No specific license or certification required; customs or transportation-related training is a plus.
Knowledge, Skills, and Abilities:
Microsoft Office, CRM/Salesforce, SAP and other applicable business systems.
Ability to accurately enter, organize and maintain detailed transportation, rigging and order information.
Strong attention to detail and ability to identify discrepancies in data and documentation.
Good written and verbal communication skills; ability to exchange and supply information with ENGEL employees, suppliers, customers, transportation providers and customs brokers.
Ability to prioritize multiple requests, meet deadlines and follow up on open items.
Basic understanding of transportation, shipping, customs documentation and INCOTERMS, or willingness to learn.
